We are accepting applications for an Administrative Assistant at our IB campus. This is a full-time, 12-month position.
The Admissions Coordinator is responsible for performing routine administrative support. Priorities include coordinating all admissions activities for the IB Campus and supporting the front desk. This individual may also provide support to the IB campus Principal.
Essential Functions
- Coordinates all admissions activities for IB campus.
- Coordinates, processes, and documents all enrollment, residency and transfer record requirements and reports student registration and withdrawals to the School Districts.
- Coordinates data entry, data maintenance, and data correction in school information systems as part of the enrollment, withdrawal or change of residency process.
- Maintains application list and waiting list for the campus.
- Supports all re-enrollment processes annually.
- Maintains functional, efficient filing/record keeping system and updates student files/records as needed.
- Requests student records and responds to requests for student records.
- Updates data in student information system.
- Completes duties of front office staff as needed. Answers telephones and responds appropriately to questions and inquiries. Forwards phone calls to appropriate personnel. Greets visitors, students, and staff and responds questions. Promotes a positive image of the school. Tracks late arrivals and early dismissals in the student information system. Checks in visitors and student pick-ups.
- Completes School administrative tasks as needed.
Position Requirements:

High School diploma or GED required. Associates Degree in business or a related major preferred. Experience will be considered in lieu of college degree.

2-3 years’ experience with office operations and procedures.

Experience with State of Pennsylvania Student Management Requirements and systems a plus.

Strong researching, planning, and organizational skills; ability to multi-task, prioritize and meet deadlines.

Strong communication and interpersonal skills; ability to communicate effectively with all students, staff, and parents.

Desire and ability to engage in continuing education and professional development.

Expert level experience with MS Office.
- Experience with PowerSchool SIS a plus
